Privacy Policy

Ringside helps solo sales reps and small sales teams review their sales calls. This Privacy Policy explains what information Ringside collects, how it is used, who processes it for us, and what choices users have.

Notice at Collection
At or before signup, Ringside collects these categories of personal information:
- Account information, such as name, email address, company name, billing status, and login credentials
- Calendar data, limited to Google Calendar event information you choose to connect through read-only access
- Meeting content, such as call audio, transcripts, summaries, action items, talk ratio, objection analysis, coaching insights, and search indexes
- Team workspace data, such as manager-rep visibility settings and shared call libraries
- Device and service data, such as IP address, browser type, log data, and security events
- Support communications you send to Ringside
Ringside collects this information to provide the service, dispatch a meeting notetaker bot to your scheduled Zoom or Google Meet calls, transcribe and analyze calls, secure accounts, provide support, bill subscriptions, and improve product reliability.
Ringside does not sell personal information, does not share personal information for cross-context behavioral advertising, and does not use customer call content to train general AI models.
What Ringside collects
Information you provide
When you create an account, Ringside collects basic account and subscription information such as your name, email address, company name, plan, and payment status.
If you use Ringside with a team, Ringside also stores workspace membership, roles, and permissions so managers can view the reps and calls included in that workspace.
Calendar data
If you connect Google Calendar, Ringside requests the scope https://www.googleapis.com/auth/calendar.events.readonly.
Ringside uses Google Calendar event data only to detect meetings you have scheduled, identify Zoom or Google Meet meeting links, and decide when to dispatch a Recall.ai notetaker bot for those meetings.
Ringside does not use Google Calendar data for advertising, profiling, contact enrichment, lead generation, or any purpose unrelated to call capture and call preparation.
Ringside does not edit calendar events, create calendar events, send calendar invitations, or access Gmail, Google Drive, Google Contacts, or other Google data through this integration.
Ringside may temporarily store limited calendar metadata needed to match upcoming meetings to recordings, such as event ID, title, start time, attendees, and meeting URL. Ringside does not keep full calendar histories longer than needed to operate the integration, and disconnecting Google Calendar stops future event syncing.
Google API Services compliance
Ringside’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, Ringside does not transfer Google user data to third parties except as necessary to provide or improve user-facing features that are prominent in the requesting application’s user interface; does not use Google user data for serving advertisements, including personalized, retargeted, or interest-based advertising; does not allow humans to read Google user data unless Ringside has obtained the user’s affirmative agreement to view specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for Ringside’s internal operations where the data has been aggregated and anonymized; and does not use Google user data to develop, improve, or train generalized AI or machine learning models.
Meeting content
When a meeting is recorded through Ringside, Ringside collects and processes:
- Audio from the meeting
- Transcript text
- AI-generated summaries, notes, action items, and coaching insights
- Search indexes and embeddings used to help users find past calls
- Usage metadata such as recording time, duration, participants, and meeting source
Meeting content may include personal information shared by call participants. Users are responsible for making sure they have the right to record and upload that content.
Product and security data
Ringside collects limited technical data such as IP address, browser type, device information, error logs, and authentication events to secure the service and prevent abuse.
Ringside uses essential cookies and similar technologies needed for login, session management, and security. Ringside also uses a limited set of non-essential analytics and support technologies (PostHog, Crisp, and Vercel Analytics) to understand product usage, monitor errors, and offer live chat. Ringside does not use advertising cookies and does not sell or share this data for advertising. Visitors in regions that require prior consent are asked before non-essential technologies load, and can opt out at any time.
How Ringside uses information
Ringside uses personal information to:
- Provide and operate the service
- Detect scheduled meetings and send the notetaker bot at the right time
- Transcribe, analyze, search, and display call data
- Provide team features, including manager visibility where enabled
- Process subscriptions and prevent fraud
- Respond to support requests
- Maintain security, monitor uptime, debug issues, and improve service quality
Ringside does not sell personal information or customer content. Ringside does not share customer content with advertisers. Ringside does not use customer call audio, transcripts, or analysis to train general-purpose AI models.
Third-party processors
Ringside uses service providers to host, secure, and operate the product. Those providers process data only on Ringside's behalf, subject to their agreements and policies.

Ringside may also use payment processors and email providers as needed to bill users and send service emails.
Sharing
Ringside shares information only:
- With the processors listed above to provide the service
- Within a user's team workspace according to workspace permissions
- If required by law, legal process, or to protect the rights, safety, and security of Ringside, users, or others
- In connection with a merger, financing, acquisition, or sale of assets, with appropriate confidentiality protections
Retention
Ringside keeps data for as long as needed to provide the service, comply with law, and resolve disputes.
Current retention periods:
- Call audio files: deleted after 30 days
- Transcripts, AI analysis, notes, and search indexes: kept until the user deletes them or the account is deleted
- Calendar integration metadata: kept only as long as needed to support the integration and related records
- Security and billing logs: kept as reasonably needed for fraud prevention, accounting, and legal compliance
If an account is deleted, Ringside will delete or de-identify personal information within a reasonable period, except where retention is required by law or for legitimate security, accounting, or dispute-resolution purposes.
Your choices and rights
Users can:
- Access their account information and call records
- Request deletion of account data and call content
- Export available data
- Disconnect Google Calendar at any time
- Ask for correction of inaccurate account information
Depending on where you live, you may also have rights under privacy laws such as the GDPR or CCPA/CPRA, including rights to access, delete, correct, and receive a portable copy of your data. Ringside will not discriminate against users for exercising applicable privacy rights.

International users
Ringside is based in the United States and processes data in the United States and other countries where its service providers operate.
If personal data is transferred internationally, Ringside uses appropriate safeguards where required, such as contractual protections. In limited cases, Ringside may rely on a user's instructions or the necessity of the transfer to provide the service the user requested.
Children
Ringside is a business tool for adults and is not directed to children under 18. Ringside does not knowingly collect personal information from children under 18.
Security
Ringside uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. No system is perfectly secure, and Ringside cannot guarantee absolute security.
Changes
If this Privacy Policy changes materially, Ringside will post the updated version here and update the effective date. If required by law, Ringside will provide additional notice.
